Refund & Cancellation Policy

Casa Om Potomac

Thank you for choosing Casa Om Potomac for your retreat, stay, or educational purchase. We are a boutique retreat-style property and cancellations affect us significantly. Please read this policy carefully before booking or purchasing digital content.

1. General Policy

By booking a stay, retreat, event, or purchasing digital content from Casa Om Potomac, you agree to the terms of this Refund & Cancellation Policy.
These policies apply to:

  • Reservations made directly with Casa Om Potomac

  • Online courses, digital products, virtual trainings, and prerecorded content

  • Any purchase made through casaompotomac.com

If you booked through a third-party platform (Airbnb, retreat organizer, booking websites), their refund and cancellation policies may apply instead of or in addition to ours.

2. Online Courses, Digital Products & Virtual Trainings

All sales of online courses, digital products, prerecorded classes, virtual trainings, and downloadable materials are final.

Because digital content cannot be returned, we do not offer refunds, exchanges, or credits under any circumstances, including but not limited to:

  • Change of mind

  • Schedule conflicts

  • Technical issues on the user’s side

  • Failure to access or complete the course

  • Dissatisfaction with content

By purchasing digital content from Casa Om Potomac, you acknowledge and agree that no refunds will be provided.

3. Individual Stays (Non-Retreat Guests)

Reservation Deposit

A deposit is required to secure your reservation.
Deposits are non-refundable unless otherwise stated at the time of booking.

Cancellations & Refunds

More than 30 days before arrival:
• Full refund of amounts paid, minus a $100 administrative fee (if applicable).

15–30 days before arrival:
• 50% refund of the total booking amount or
• Credit toward a future stay (subject to availability and rate changes).

14 days or less before arrival / No-show:
• No refund. The full amount is non-refundable.

Early Departure

No refunds are provided for early departure after check-in.

4. Retreats, Trainings & Group Bookings

Retreats require substantial advance planning and financial commitment. Therefore, the policies are stricter.

Retreat Deposits (Participants)

Deposits paid by individual retreat participants to Casa Om Potomac are typically non-refundable, unless otherwise stated by the retreat organizer.

If you booked through a retreat leader or organization, please refer to their policy.

Group / Retreat Leaders (Full Property or Block Bookings)

  • A non-refundable deposit of the total retreat cost is required to reserve dates.

  • Final payment is due 30 days before check-in, unless otherwise agreed in writing.

Retreat Cancellation by Group Leader

More than 90 days before arrival:
• Deposits remain non-refundable.

60–90 days before arrival:
• Deposits remain non-refundable, and additional cancellation fees may apply depending on your agreement.

Less than 60 days before arrival:
• All payments made are non-refundable and non-transferable, unless otherwise agreed in writing.

Retreat Cancellation by Casa Om Potomac

In the unlikely event Casa Om Potomac must cancel a retreat or booking (property damage, safety concerns, etc.):

You will receive your choice of:
• A full refund of amounts paid directly to Casa Om Potomac, or
• The option to reschedule to alternative dates (subject to availability).

Casa Om Potomac is not responsible for additional expenses such as airfare, transportation, or third-party bookings.

5. Force Majeure (Events Beyond Our Control)

Casa Om Potomac is not liable for refunds or costs when cancellations result from events beyond our control, including:

  • Natural disasters or severe weather

  • Government restrictions or public health emergencies

  • Power or utility failures

  • Acts of war, civil unrest, or terrorism

In such cases, Casa Om Potomac may offer credits or rescheduling instead of cash refunds at our discretion.

6. No-Show Policy

If a guest or group does not arrive on the check-in date and fails to notify us:

  • No refund will be issued

  • The room(s) or property may be released for other bookings

7. Changes to Reservation Dates

Date changes are subject to:

  • Availability

  • Rate differences

  • Minimum stay requirements

  • Seasonal policies

All date changes must be confirmed in writing by Casa Om Potomac.

8. Third-Party Bookings

If you booked through a third-party booking site, retreat company, or travel agent, their policies may differ and may take precedence.

Casa Om Potomac is not responsible for refunds or fees handled by third-party platforms.

9. How to Request a Cancellation or Refund Consideration

Refund eligibility is based on the date/time your written request is received.

10. Policy Updates

Casa Om Potomac may update this policy at any time.
The version in effect at the time of booking typically applies.
